Swift Group, a prominent manufacturer of touring caravans, campervans, and luxury lodges, operates from a vast 100-acre site in East Yorkshire. They’ve been delivering their wide range of leisure products for over 60 years and aim to provide their customers with unforgettable holiday experiences. 

The Challenge

Prior to Vatix, Swift Group’s incident reporting relied on an outdated paper-based system, which was slow and cumbersome for a site of their size. With around 100 managers responsible for various operations, tracking incidents and ensuring compliance with the strict RIDDOR (Reporting of Injuries, Diseases, and Dangerous Occurrences Regulations) requirements became a logistical challenge. Delays in reporting meant that there was a higher risk of missing critical RIDDOR submission deadlines.

Additionally, the burden of reporting fell heavily on the Health and Safety team. To address these issues, Swift Group needed a solution that would allow all employees, not just the Health and Safety team, to easily report incidents in real time. The decision to implement Vatix’s incident management platform was driven by the need for a more efficient, timely, and accessible system—one that would streamline compliance and foster a stronger culture of safety across the entire business.

The Strategy

Vatix and Swift Group worked collaboratively to implement a comprehensive incident reporting system tailored specifically to Swift Group’s needs. The project began with a digital transformation, replacing the old paper-based system with a modern digital platform that allowed for instant reporting and tracking of incidents. To make reporting accessible for all employees, especially those without access to computers, a QR code-based system was introduced. This enabled operatives to easily report incidents through their mobile devices, streamlining the process across the board.

One of the standout features of the solution was the real-time analytics dashboard. This provided Swift Group’s directors and managers with immediate visibility into safety incidents and trends—and the option to turn on notifications to be automatically alerted to relevant updates. Additionally, Vatix ensured the system was user-friendly by collaborating closely with Swift Group during the implementation phase. Together, they developed an internal internet page to categorise their many business areas. 

The Result

With the help of Vatix’s incident reporting tool, Swift Group has experienced remarkable improvements across several key areas. Compliance has dramatically improved, with the company now meeting RIDDOR deadlines more consistently.

Employee interaction around safety has increased significantly and led to a shift in the way they think about safety awareness. Staff have become more proactive in reporting safety concerns, even going so far as to submit before-and-after photos to document improvements. The increase in reports of safety concerns highlights how easy-to-use Vatix’s incident reporting tool is in comparison to their previous system. 

Efficiency has also seen a substantial boost. The new system has streamlined the reporting process, making it both faster and easier to use. The Vatix support team were on hand to address any queries about reporting (and the set up in general), ensuring a smooth and uninterrupted operation, further contributing to the system’s overall success.
